Short answer: On 27 October 2026, during LevelUp week, HighLevel added a batch of CRM features to its changelog. HighLevel's LevelUp Day 2026 roundup also lists most of them, including calculated fields, multiple companies per contact, association labels and document folders. The headline is calculated fields (private beta): custom fields that work out their own value from a formula. Alongside it, a contact can now be linked to more than one company with role labels such as Billing contact or Decision maker, automatic company creation from a contact's email domain is now available to every sub-account (on by default only for new agencies), smart lists can show and filter associated records, workflows get an Association Created trigger and a Send SMS action for Custom Object and Company workflows, and contact documents get folders and a 60-day Trash.
Status check: every feature below is in HighLevel's official changelog, dated 27 October 2026. Automatic company creation is live for everyone. Calculated fields are a private beta, so most accounts will not see them yet. The association features (role labels, multiple companies, smart list columns and filters, the new trigger and the SMS action) are switched on in Labs. Document folders are released, with no Labs or beta mentioned in the entry. I have not tested these in my own account yet, so the steps follow HighLevel's changelog and menu names may differ slightly in yours. I will update this post once I have run them myself.
Much of this week's coverage is about AI, but this batch changes how client data is stored and connected in the CRM. If you have ever kept a "days since last purchase" number up to date with a workflow and a custom value, duplicated a contact because they worked with two clients, or exported a list to a spreadsheet just to score leads, this update is for you.
Here is what HighLevel actually shipped, why it matters, how to turn each part on and what to watch out for. Every fact comes from the official changelog entries linked at the bottom.
1. Calculated fields (private beta)
According to the calculated fields changelog entry, there is a new Calculated custom field type whose value is worked out automatically from your other data. You set the formula once and HighLevel keeps it right.
- Four calculation types: Custom formula, Time between (two date fields), Time since (for example days since last purchase) and Time until (for example days until renewal).
- Output types: Number, Boolean (true or false), Text, Date or Date-Time.
- Number formats: formatted, unformatted, currency, percentage or duration, such as "3 hrs 9 mins".
- Function library: Math (SUM, AVERAGE, ROUND, MIN, MAX, ABS and more), Text (CONCAT, UPPER, LOWER, TRIM, LEFT, RIGHT, REPLACE and more), Date and Time (ADD_TIME, YEAR, MONTH, DAY, WEEKDAY and more) and Logic (IF, AND, OR, IS_KNOWN).
- Test before you save: try the formula with sample values and get a clear error message if something is wrong.
- Always accurate and read-only: values recalculate when the source fields change, and a manual edit, import or workflow cannot overwrite them.
- Contacts, opportunities and custom objects: all three are part of the private beta.
- Smart lists and workflows: use them as smart list columns and filters and in workflows. Time since and Time until fields can be columns but not filters.
How I would use calculated fields for clients
These are my own ideas, built on what the changelog says the feature can do.
- A simple lead score. A custom formula with IF that adds points from other contact fields, such as a budget answer or a service interest, shown as a number on the contact.
- Renewal countdowns. A Time until field on a renewal date, so a gym, insurer or software client can see at a glance who is due soon.
- Win-back lists. A Time since field on the last purchase date, added as a smart list column so the team can see who has gone quiet.
- Clean data. Text functions such as UPPER, TRIM and CONCAT to build a tidy full name or a consistent reference code.
Remember the filter limit: if you want a smart list of "renewal in under 30 days", a Time until field cannot be used as a filter, only as a column. Plan your segments with that in mind.
2. Automatic company creation by email domain, now live for everyone
The automatic company creation changelog entry says the domain-based Company automation has left Labs and is available to every sub-account. When a contact is created or their email changes, HighLevel finds the company by email domain, links the contact, and creates and enriches the company if none exists.
- On by default for new agencies, off for existing agencies until an admin turns it on.
- One domain per company through a Company Domain Name field, unique by default, so the same business is not created twice.
- Enrichment: new companies get their domain, name and logo.
- Smart exclusions: free email providers such as Gmail and Yahoo are skipped, and you can add your own domains to exclude.
- Existing data: when you turn it on you can fill in domains for existing companies and apply it to existing contacts.
How to turn it on
- Go to Settings, Objects, Companies.
- Under Automations, turn on Create companies from contact's email domain, Enrich companies automatically and Automatically prevent duplicate companies.
- Add any domains to ignore under Exclude domains from automatic association. Your own agency domain is a sensible one to add.
- Choose whether to backfill domains and apply the automation to existing contacts, then click Save changes.

3. One contact, many companies, with role labels
Two linked entries cover this: Link a Contact to Multiple Companies and Define Roles for Contacts in Companies with Association Labels. Primary Company stays as a system label that links one company per contact and cannot be edited. Everything else is done with your own association labels.
- Role labels such as Employee, Billing contact or Decision maker, created in object settings. You can use one name on both sides or a pair such as Employer and Employee, with relationship limits in each direction.
- Multiple roles: the same contact and company can be linked under more than one label.
- Many companies per contact: create a label between Contacts and Companies set to Many Companies, then link a consultant or a shared accountant to every company they work with, without duplicate records.
- Email by role: when emailing from Companies you can pick association labels, and contacts matching several labels are only emailed once.
How to set it up
- Enable Association Labels and Multiple Companies for Contacts in Labs.
- Go to Settings, Objects, Companies (or Contacts), Associations, and click Create association.
- Choose Contacts, name the labels, and set the relationship limits, for example Many Companies.
- Open a contact, click Add next to Companies, pick the company and the new label, and save.
Company merge fields still use Primary Company. Linking extra companies does not change which company's details appear in your emails and SMS, so keep Primary Company accurate.
4. Associated records in contact smart lists
The smart lists changelog entry adds a column for each association label, with chips for the linked records and a +N indicator when there are more. You can filter with Contains any, Does not contain any, Is empty and Is not empty, and save the result as a smart list. The old Company name column is now called Primary Company.
To use it, enable Association Columns and Filters for Contacts in Labs, go to Contacts, Smart Lists, open Manage fields from the columns count, pick labels under Associations, then use Filters and search for "Associated". The Is empty filter is a quick way to find contacts missing a link you expect them to have.
5. New workflow trigger and action for linked records
Association Created trigger
The Association Created trigger entry lets a workflow start when a new association links CRM records. It works with Contacts, Opportunities, Custom Objects and Companies, in standard, Custom Object and Company workflows, and you can filter by the associated object and the association label. Enable it in Labs, add the trigger, choose the object under Association created with, add an Association label filter and publish. HighLevel suggests testing by creating a matching link and checking Enrollment history and Execution logs.
Send SMS from Custom Object and Company workflows
The Send SMS action entry adds Send SMS to Custom Object and Company workflows. You choose recipients by association label: all associated contacts, the most recently associated or the earliest associated. You can mix record fields with contact fields to personalise each message, use an SMS template, and see per-recipient delivery in the action's Statistics. Contacts under several selected labels get one SMS per run. This is also enabled in Labs.
Put those two together and a workflow can act on the records themselves: a renewal reminder texted to every Billing contact on a company, or an onboarding sequence that starts the moment a contact is linked to a new record. For more workflow ideas, see my GoHighLevel AI automation guide.
6. Folders and Trash for contact documents
The document folders entry brings folders to the documents section of the contact page. There are protected system folders and your own custom folders, nested across multiple levels. You can move files and folders without re-uploading them, delete custom folders and their files, and restore deleted files or folders from Trash within 60 days. Files in system folders cannot be deleted yet, and HighLevel says that and document tags are coming next.
Why this matters for agencies
- B2B clients fit the CRM better. Accountants, consultants, recruiters and any business that sells to companies can now model who does what at each account without duplicate contacts.
- Fewer workaround workflows. Calculated fields replace a lot of "update custom value" steps that agencies have been using to fake scores and countdowns.
- Cleaner data from day one. Automatic company creation means company records build themselves as leads come in.
- Better segments. Smart lists that understand relationships make follow-up more relevant, and the SMS action lets you act on them.
Limits and gotchas
- Calculated fields are private beta. Do not promise them to a client until they show up in the account.
- Calculated fields are read-only. Workflows and imports cannot write to them, which is the point, but it means old "update field" steps aimed at them will not work.
- Labs features are per account. Most of the association tools need a Labs toggle, so check each sub-account.
- Existing agencies must switch company creation on. It is only on by default for new agencies.
- Merge fields use Primary Company. Extra company links do not change merge values.
- Test before you rely on it. Create a test association and check the workflow logs before turning on SMS to real contacts.
